Find a detail in permitted conversation history

Open a client conversation or named shared conversation and use Find a conversation detail. Enter 2–200 characters, choose sources, then select Search selected history. For example, search “sunset” to find the original portrait discussion before preparing a reply.

Choose the history you mean

Private client conversations support email, internal notes, outgoing operational texts, incoming text replies and the text of approved outgoing image messages. Owners, admins and staff with full workspace access can search their business’s history. Being invited to the same wedding does not grant that access. Archived or merged inquiries keep their permitted history; finding a result does not restore sending permission.

Named shared conversations search only messages inside your current invitation’s history window. Current full business operators can also choose Your business’s private comment. This includes only their own business’s comments. External participants cannot search those comments, other businesses’ records or private client conversations.

The text accompanying an image message is searchable. Image contents, file contents, recordings and voice transcripts are outside this search. Unassigned text intake, guest household messages and timeline broadcasts also have separate access rules and are not included. This searches one selected conversation, not every conversation in the business.

Understand each page

Each request checks at most 100 permitted records, processes at most 1 MiB of message text, and returns at most 20 matches. The count says how many records were checked. A page with no matches can still have older history remaining. Choose Continue through older history to check it deliberately; the current page of matches is replaced by the next page.

Results include the source, original time, message title and a plain-text excerpt. Open a result to read its original saved text with a fresh permission check. Return to the conversation for the surrounding discussion and available attachments. Opening a result does not mark the whole conversation read, change assignments, queue a message or update a delivery receipt.

Search is a literal, case-insensitive substring comparison using Unicode compatibility normalization. Full-width “VEGETARIAN” matches “vegetarian.” Percent signs and underscores are ordinary characters; there are no wildcards, regular expressions, fuzzy matching or semantic search. Excerpts preserve original text without automatic highlighting.

Refresh and recovery

Continue within 15 minutes using the same words, sources, account and business. If the invitation, history boundary or membership changes, start a fresh search. Revoked access is rejected even when you already have a result link or continuation. A result is not an access grant.

Newer messages require Start a fresh search. Mailbox imports can arrive with older original dates and may appear during continuation. The search describes the permitted history it actually checked; it does not promise a frozen snapshot of all imports. Refresh after a completed import for current coverage.

If a saved message fails its integrity check, the page returns an error instead of showing unverified content. Ask an administrator to inspect the original record and recovery tools. If searches are too frequent, wait a minute before continuing. An unusually large legacy message can require opening ordinary history instead.

Privacy and setup

Search words are submitted in the request body. The new search panel does not put them in URLs, local storage, saved queries, audit events or a search index. Existing email-only history filters are separate. Operational text bodies stay in their existing encrypted records and are decrypted only inside the currently authorized read. Search stores neither a plaintext text-message index nor snippets. The continuation contains encrypted navigation state and a query fingerprint, not the query words.

This requires the database, named identity and existing integration-encryption configuration. It does not contact an email, SMS, search or AI provider. Real message delivery remains subject to its own coordinated activation checks.

Find the conversation before searching its details

The Client conversations inbox is ordered by its latest saved email, operational text, text reply or outgoing picture message. A fresh reply brings an older client back to the top. Changes to an assignment or inbox status do not count as a new message, and a future scheduled send does not move a conversation into the future. Verified incoming text replies reopen a closed conversation so the team can respond.

Use the inbox filters for open, waiting-on-client or closed work, and for your own assignments or unassigned conversations. Its search matches names, email addresses and email content. Text-message bodies remain in their private conversation; use the per-conversation search above to find text details. The row shows the most recent activity, which may differ from the older email that matched your search. Timestamps use the business timezone.

Older activity continues the same filtered view with stable timestamp-and-ID ordering. New replies can move conversations ahead of the continuation; choose Latest inbox or refresh the first page to see them. A cursor from a different business or filter cannot be reused. Membership is checked on every read.

The communication tabs distinguish client conversations, invited wedding-team conversations, mailbox imports and the reusable writing library. Mailbox imports still need a reviewed client link, and a wedding-team invitation never grants access to private client conversations. Inbox badges show saved status and delivery state; they do not claim that someone has read a message.
