Wedding-day coordination

Choose delivery preferences and accept a handoff

Each coordination recipient has a private, expiring link. The link grants access to that person’s assigned published moments. It is not a login to the planner’s clients, finances or private incident desk.

Choose how updates reach you

Your planner can add a US mobile number, an email address, or both. On your personal link, explicitly enable the channels you want to use. Email can work without a phone number and can be used when opted-in text delivery is unavailable. A phone number entered by a planner does not itself enroll the recipient in texts.

Choose schedule updates, reminders and a reminder lead time from five minutes to three hours. Quiet hours use the wedding schedule’s displayed time zone. Ordinary updates can wait until quiet hours end. Critical changes, on-call alerts and wedding-day changes arrive immediately. A reminder that would arrive after its moment is skipped.

Replying STOP to the texting number suppresses texts. Reply START before re-enabling that number through the link. Email preferences are separate. SMS also requires an enabled workspace spending account and sufficient budget; a missing price or spending approval leaves the request on hold.

For example, a caterer can choose a thirty-minute reminder, confirm readiness the night before, and mark On my way on the day. They still need to acknowledge a newly published version separately. After five minutes without acknowledgement of a critical change, the system records an escalation and can alert opted-in on-call contacts.

Make responsibility explicit

A planner can write a handoff addressed to one recipient, optionally naming the person handing over. Only the named sender and receiver see its shared summary. Only the receiver can accept responsibility. Keep the summary suitable for those people to read.

Use Something needs attention to report a problem privately to the planning team. The planner can acknowledge or resolve it and record the response. Incident details are not copied into schedule texts. Keep your normal immediate-contact procedure for urgent situations; provider setup and an internet connection still determine whether remote notifications arrive.
