Inventory, exact units and returns

Open Resources → Inventory & returns to register bulk quantities or individually serialized units. Inventory belongs to the active business workspace. Full workspace operators can change stock; restricted crew members and shared-wedding participants do not gain this access from their assignment.

What the quantities mean

Serviceable includes usable items currently checked out. On shelf subtracts actual outstanding custody. Reservations reduce availability for their rental period, rather than reducing the serviceable stock total. Early checkout protects the earlier pickup period. An overdue checkout stays unavailable until its return is recorded.

For serialized collections, each reservation receives specific units available for its entire period. A serial cannot be allocated to overlapping reservations. Bulk collections continue to use peak overlapping quantities. Record the physical serials yourself; the system does not invent labels for existing stock.

Pack, check out and receive a partial return

Reserve the item for a wedding, review its destination and local pickup/return times, then mark it packed and check it out. You can unpack a packed reservation. A checked-out reservation must keep its custody record until the return is accounted for.

A return can account for just part of the original quantity. Choose returned intact, returned damaged, or confirmed lost. With exact units, select each serial’s condition and leave the others still out. The remaining quantity stays checked out. The original planned quantity and earlier return entries remain in history.

The original packing form is also supported. Its combined “damaged/missing” field records an unclassified condition; classify the original movement explicitly before treating an item as repaired or found.

Repair, find or restock

Use the original damage or loss entry in Stock movement history to record recovery. A repaired or found-intact item returns to serviceable stock. A found-damaged item moves from lost to quarantine and still needs repair. Each recovery is bounded by the unrecovered quantity in its source movement; retries do not add the same item twice.

Use Restock with new items for additional purchases or newly acquired units. Reusing an existing serial is rejected: recover its original record instead. Stock movements and decisions record the operator, reason, before/after state and time. They do not create a charge, refund, accounting purchase or insurance claim.

Shortages and substitutions

Damage or loss can make later promises exceed serviceable stock. Existing reservations and appointments stay in place. Their stock holds explain what needs review; packing and checkout recheck live availability. Returns and repairs remain available while a hold exists.

For an unpacked wedding reservation, preview an alternate item and its replacement quantity, then explicitly approve that exact review. Approval rechecks both items and expires after fifteen minutes. The original reservation is retained and linked to its replacement. A preview does not reserve the alternate.

Appointment-bound requirements must be changed through scheduling review. Inventory does not silently replace or cancel an appointment. A packed wedding reservation must be unpacked before substitution, and checked-out custody cannot be replaced retroactively. Existing saved floor-plan references remain the original references and need a separate layout review.

Packets, history and recovery

Open a project and choose Team → Packing & returns for its complete event workspace. Search by item, destination or assigned serial, then filter what needs packing, what is packed, what is still out, or retained history. Counts cover all event reservations; each page shows up to 25. The stock picker searches the business inventory and shows up to 30 matching choices. New reservations use the event's business timezone and recheck actual availability when saved.

Select up to 20 reservations, add the team's count or pickup note, and review packing, checkout or unpacking together. Review the actual names, quantities, destinations and assigned serials before confirming. Mixed packing statuses require separate reviews. A prepared review lasts 30 minutes and belongs to the person who prepared it; another operator can prepare their own fresh review.

For returns, choose Record return on each outstanding reservation. Stage the quantities or exact serial conditions, leaving items still in use unreturned. Several staged returns can share one review. Staging does not change stock. Applying saves each line independently, with an explicit result for every reservation. If one record changed elsewhere, the completed lines remain saved and the remaining line needs a fresh review. An interrupted response can retry the same review without counting the same return again.

The latest six reviews remain in the event workspace after refresh, including their original decisions and completed receipts. Each individual stock record retains its full movement history. Flagged for review includes previously recorded holds and stock checks waiting to run; it is not proof that every other reservation has available stock. Current stock is checked as each page opens and again before packing or checkout.

Each wedding has a private printable packing and return packet with planned quantities, exact assigned units, current status, outstanding returns and stock holds. It is a dated current view, not a new immutable contract; reload before acting on an old printed copy.

The inventory list is paginated. Reservations and stock movements have independent previous/next history pages with total counts, so older unresolved damage and loss entries remain available for recovery. History pages use stable time-and-record cursors; navigating one history keeps the other in place. Wedding pickers show up to 100 recent projects.

An interrupted save can be retried with the same unchanged request. If another operator changed the record, reload and review the new revision before submitting a different decision. Inventory requires the application database and operational worker for background hold refresh; it has no external fulfillment or notification provider to activate.

Existing stock is adopted with a baseline snapshot. Past ambiguous loss or repair history is not reconstructed or presented as verified physical movement. Converting a bulk collection to exact units requires a complete serial list, no packed or outstanding custody, and no unresolved condition stock. Existing unpacked reservations are mapped to available units in date order or the conversion is rejected atomically.
