Keep private document versions and restore previous files
Product team · Reviewed
Open Files from search or a project's Documents → Browse files link. The library belongs to your business workspace. A couple, vendor or guest invited to a shared wedding does not automatically gain access to its private files.
Find the right original
Search by filename, document label or project name. Project documents shows active work; Archive keeps recoverable documents; All private files includes ready files and interrupted uploads from supported private modules. Search does not inspect the text inside a PDF or Word document.
Choose a project to upload a supported planning file up to 9MB. Large professional image deliveries belong in Galleries. A successful upload verifies the stored checksum and size before becoming a current document. If confirmation is lost, retry the same request with the same file; the saved upload intent is reused.
Replace, compare and restore
Open History & options, expand Replace the file, choose the new original and explain what changed. For example, replace a venue packet with its revised load-in entrance and note “South entrance replaces east entrance.” Revision 1 remains downloadable; revision 2 becomes current.
History lists the filename, label, date, size, revision, change note and restoration source. Download two originals when you need to compare their contents; the library does not claim an automatic PDF or Word visual diff. Restoring revision 1 creates revision 3 with revision 1's exact original bytes. It does not rewrite revisions 1 or 2. Another person's intervening edit stops a stale replacement or restoration.
Archive and recover
Archive removes a document from active project work and search without deleting its originals. Recover returns it to the project with a new history entry. Existing document URLs remain authorized routes to the current file. Historic download links name an exact revision and verify its saved checksum and size.
Document history prevents general storage cleanup from deleting referenced originals, including archived originals. Automatic history expiration and a permanent document-history purge are not enabled; retained versions continue to occupy storage. Signed agreement originals keep their separate agreement access and retention controls and cannot be replaced from this library.
Legacy and interrupted files
Older public Blob links stay available until their reviewed private-storage migration. They cannot be replaced or restored as current public files through this editor. Migration verifies a private copy and appends a migration revision. Removing old public originals, rehearsing existing links and verifying retention are coordinated activation tasks; a new private copy alone does not retract an old public URL.
An interrupted verified upload that loses its document-revision race may appear in All private files without becoming current. Its bytes remain private and available for recovery. Uncertain storage work remains visible to operations rather than being represented as a successful file replacement.
The versioned API exposes the same named-user permissions, idempotency and revision checks. It does not accept an unattributed integration key for history edits. Download URLs for private storage expire after 60 seconds; copy the authenticated document link when sharing within your own authorized business team.
