Review questionnaire prefills and contact changes

A personal questionnaire keeps the questions published when its link was created. Its response is stored separately from the contact. Use Forms to decide which existing contact details to share, and which returned answers should change the private record.

Review a personal request

Open a published form and choose an active contact under Request answers from a client. Start with Preview personal request. By default no contact values are included.

A client with an existing project does not need a new inquiry or workflow. Expand Choose an existing client or project partner, search the project, choose its primary client or a named partner, review the exact contact and use that recipient. From a client detail page, Request a questionnaire under its project opens Forms with that project already selected. This creates only the private communication relationship; it grants no shared-wedding access and starts no automation.

If the authoritative client or partner details change after selection, select and review the current person again. Reusing an old project communication record cannot hide changed email or contact details. Questionnaire responses stay separate from the actual client and partner records; review any correction in the client’s contact history before selecting its new address.

The preview offers the form fields mapped to contact name, email, phone and event date. Select only the values that belong in this request, then preview again. Private notes, financial records, arbitrary custom fields and the original inquiry message cannot be prefilled through this flow. Conditional fields remain hidden unless their condition is satisfied by the selected snapshot.

For example, a contact record may contain a current email but an uncertain event date. Select name and email only. The resulting personal form starts with those two reviewed values and leaves the date for the recipient to answer.

Approve the displayed questions and values to create the link. Creation freezes the published question version and exact selected values. Editing the contact later does not silently change an already-issued form. A repeated creation request returns the same link rather than making another one.

The link expires in 30 days and can be revoked while pending. A contact that has been archived or merged can no longer use its old personal link. The historical response and request remain on the original record; they are not transferred to a different person.

A personal link grants access to that form. Share it deliberately. Its recipient can review and correct the prefilled answers before submitting; the product does not assert that possession of the link independently verifies their identity.

Save answers before the final review

Personal requests support explicit saved progress, including older one-page questionnaires. The client can return through the same private link, save incomplete answers, and review the complete saved draft before confirming submission. Questionnaire sections and saved progress explains sections, conflicting edits, reset and private-link replacement. A saved draft alone does not complete the request or advance its booking journey.

Keep the response separate from the contact

Submitting a personal questionnaire stores the answers and completes that request. It does not overwrite contact details, private notes, signed documents, recipients or payments. Unknown and hidden field values are discarded by validation.

Open the saved response and expand Review changes to this contact. Select only the answered fields you intend to apply. The preview compares current and proposed values. For example, applying a corrected event date does not also change the email unless you selected that answer.

Review the comparison and approve it within 30 minutes. The action checks the exact saved response, original question version and current contact revision. A changed record requires a fresh preview; two simultaneous reviews cannot quietly overwrite one another. Repeating the same approved request applies it once and retains its private activity history.

Custom answers can be applied only when the form’s published project type matches the contact’s current project type. Other custom answers remain useful as a saved response. Contact fields can still be reviewed separately. A form response longer than the contact field allows will be held instead of silently truncated.

Consider the effects of a contact correction

Updating the email does not redirect an email already reviewed for the old recipient. Existing communication checks hold or cancel a mismatched recipient; prepare a fresh reviewed message when needed.

Updating the event date can hold an existing date-relative workflow. Follow Workflow dates and approval checkpoints to inspect the old and proposed deadline. An archived or merged contact cannot accept a mapping; restore the appropriate record or work with the continuing contact through a new reviewed request.

The current form builder supports nine field types (short text, long text, email, phone, number, date, one choice, multiple choices and a yes/no checkbox) and conditions based on preceding answers. These personal forms do not provide arbitrary document uploads, repeating sections, electronic signatures or automatic response-to-contact synchronization. Photography family questionnaires are a separate scoped workflow.
