Budgets and pricing

Compare wedding quotes by scope and total commitment

Editorial team · Reviewed

Two prices are comparable only when the promised work is comparable. Before ranking quotes, identify the quantities, hours, equipment, fees and responsibilities that explain the difference.

A practical sequence

  1. Put included deliverables into the same categories for each supplier.
  2. Identify exclusions and costs that remain with the couple or another vendor.
  3. Compare payment dates, change rules and the operational assumptions.
  4. Choose on fit and confidence as well as the total price.

Work through an example

One floral quote includes installation and vessel collection; another lists flowers only. The lower headline number may still be the right choice, but only after someone prices and owns the missing labor and transport.

Where judgement matters

Do not ask a supplier to match another price without matching the scope. A clear comparison helps explain choices respectfully and avoids discovering an unassigned task on the wedding morning.

Make it usable

Work the decision

A practice case

An original fictional scenario. Numbers are illustrative inputs; this is not a customer result or a provider performance claim.

Two transport quotes both say wedding shuttle. One includes two return departures and a standby interval; the other covers a single one-way transfer. Comparing only their totals would hide the service difference. Normalize the deliverables first, then ask for missing prices without inventing them. For the sample, list the two return departures as separate rows. Ask the second provider to quote them explicitly before calling either option better value.

Three decisions and why each matters
DecisionWhy it matters
Compare the same quantities and service windows.A cheaper quote may simply contain fewer vehicle hours or a different capacity.
Mark unknown items rather than treating them as free.Parking, waiting, overtime and cancellation terms need confirmation.
Keep the provider’s exact version with the comparison.A revised quote should not be mixed with the earlier price or exclusions.

Make one usable artifact

Create a side-by-side sheet for quantity, duration, inclusions, exclusions, tax treatment, payment milestones and unresolved questions. Keep currency explicit.

Then test the difficult case

One provider updates only the overtime rate. Refresh the relevant comparison field and show whether the preferred option changes under a delayed-return scenario.
