My notes is your personal notebook inside the current workspace. A workspace owner, administrator, teammate, client or invited wedding participant cannot open another author’s notes. Switching workspaces switches notebooks.
Write and find your notes
Open My notes and choose Write a note. The title is optional. Write up to 40,000 characters, choose a meeting or note date, and add up to 30 comma-separated tags. Tags ignore capitalization and a leading #. Pin an important note to keep it at the top.
The note date can be backdated to the meeting you are recording. Its original creation time and last-save time remain visible and cannot be backdated. Save with the button or Command/Ctrl+S. The editor warns before leaving unsaved changes; it does not keep private drafts in browser local storage.
Search your text, title, tags or linked client names. Filter by tag, client, pinned status or archive state. The notebook displays 20 notes per page and up to 60 available tag options; a direct tag filter still finds tags beyond that list.
Link a client without sharing the note
Choose an optional client from the current workspace. Your note also appears in the My notes section of that client’s page, only when you open it. The ordinary Workspace notes field remains visible to authorized business operators; these are different records.
New links use active client records. Archiving or merging a client does not silently transfer your personal notes to another client. An existing link remains on the original record until you review and change it. The note never appears in a client portal, shared wedding view, CRM history, outbound webhook, public page or workspace search.
Ask privately with the assistant
Save your note, then choose Ask the assistant about this note. You can also choose my personal notes in the assistant’s source picker and search by text, tag or linked client name. Select the records you want it to read and approve the displayed model usage cost before sending anything.
Selecting a personal note makes the entire saved conversation private to your named account before it is stored. Other operators and workspace API keys cannot see its request, note snapshots, answer, history or follow-ups. Following up keeps the conversation private even if you remove the note from the next request’s selected sources. Previous note references are refreshed against your current access.
Personal-note conversations answer questions and prepare wording only. They cannot apply shared tasks, append shared CRM notes, change settings or send messages. Copying text into a different shared record is a separate deliberate action. Long notes may be truncated in the model context; the source panel discloses the actual snapshot and its revision.
Model processing still uses the configured AI provider and the approved workspace usage allowance. Private to your account describes access inside WeddingBoard, not an unverified guarantee about the model provider’s retention or training policies. Existing shared assistant conversations keep their existing workspace permissions.
Archive, recover and resolve conflicts
Archive a note to remove it from the current list and assistant source search. Filter to Archived notes, open it, and choose Restore. This restores the original record and creation time. Earlier private assistant conversations can retain the note snapshot you already approved; archiving a note does not erase that historical conversation.
If another tab saves the note first, your older save is rejected. Keep your text, reload the current note, then review the changes before saving again. A repeated network request returns the original saved result instead of creating a second note.
Revoked workspace membership removes access to the notebook and private conversations in that workspace. Ownership handoff does not transfer authorship or grant the new owner access. This notebook has archive and restore controls, not permanent deletion or encrypted offline synchronization.
Named-account API
/api/v1/notes lists or creates your notes. /api/v1/notes/{id} reads, updates, pins, archives or restores an exact author-owned note. /api/v1/notes/clients searches permitted client choices. Use a current named account session and the workspace header; general workspace API keys cannot substitute for a person.
Mutations require a request identity and expected revision. Note IDs, client IDs and workspace headers never grant access by themselves. Assistant source retrieval follows the same authorship boundary. External identity, database and AI setup remain part of the coordinated activation process.
Native notebook
Open Notes in a full-access native workspace. Search your own notes and client names, filter tags, show pinned notes, and switch between active and archived records. Create or edit the title, body, date, tags, pin and optional client link; archive and restore use the same named-author service as the web notebook. Linking a client never shares the note.
Server notes are read online and are not copied into general runbooks. Unreviewed editor text is cleared when the app leaves the foreground. Review and protect this exact draft saves the proposed change in this account's encrypted device draft store before displaying approval. It is still unsaved on the server. Approve online or recover the same request after an interruption or restart; an uncertain submission keeps its original identity rather than creating a second note.
A revision conflict requires opening the current note again and reviewing your retained wording against its current server text. No automatic rebase or background write occurs. Removing downloaded copies or signing out can remove local drafts, so resolve unfinished saves first. Real device storage and lifecycle behavior are part of the final native rehearsal.
Ask privately about this note opens a native assistant draft with that note selected. Approve model usage separately. The answer and follow-ups remain private and read-only; they cannot copy private note contents into a shared CRM record or send a message.
