Turn good work into reusable templates

Open Template studio to create timelines, checklists, questionnaires, email wording, proposals, contracts and fixed-amount budget worksheets. The original 80 starter URLs and planning-library imports remain available. The studio adds private versions, explicit named sharing and independently reviewed community publication.

Create or capture a starting point

Choose a blank type, or use Copy an existing plan or working document. Search the starter library, your imported library, a project timeline, an earlier saved timeline, a form, email wording, proposal draft or contract wording. Preview the source, remove client details and adapt the fields. Choose Review before saving, inspect the complete result, then save.

Capture retains reusable timings, relative event days, dependencies, fixed anchors, notes and role labels. It excludes current named assignments, inventory reservations and completed states. Proposal captures retain prices and terms but omit private image references. Contract captures contain wording only: signed evidence, signer identities and payment history stay with the original record. The capture screen warns about names and confidential details that may remain in written text.

Timelines use local HH:mm times. Day 0 is the destination event date. Checklist offsets are days before or after the destination date; a blank offset creates a task without a due date. Forms support conditional questions and contact-field mappings. Proposal prices use integer USD cents and installment percentages use basis points: 10,000 is 100%.

Save versions and restore intentionally

Every save creates an immutable version. The editor checks the current revision; if someone changed it, refresh, compare, and decide what to retain. Compare saved versions shows both complete definitions. Open an earlier version and review it before saving: restoration creates a new latest version and keeps the intervening history. The version selector shows 30 retained versions at a time; choose Earlier version history to browse farther back. Exact retained version IDs remain individually accessible to authorized editors.

Saving does not change previously created independent copies, project drafts, shared pinned versions, or published community submissions. The source history on a copy records what was reviewed without granting permanent access to that source.

Share exact named access

Owners, admins and the creator of a template can manage sharing. Choose a current teammate, inspect the selected version and permission, then confirm:

  • View permits reading that exact saved version.
  • View and copy also permits independent copies, for an existing business operator.
  • Edit permits changing the original and reading its retained history and future versions.

This does not create a paid seat. Restricted collaborators can receive view access; they do not gain business operations or private financial records. A membership permission change invalidates its previous grant. Re-inviting or restoring a teammate does not revive it automatically: review and grant access again.

Revoke ends future source access. Independent copies already created remain with their owners. Archiving ends named grants and withdraws pending or approved publications. Recovery brings the template back privately; sharing and public review start again explicitly.

Apply a saved version

Choose an owned destination project where required, then Review destination and changes. The preview checks the current target and saved template. Confirm to create:

  • Timeline moments appended to the quiet draft, or a reviewed replacement of its unprotected moments. Neither operation changes the published schedule.
  • New incomplete tasks, with event-relative dates resolved against the reviewed project date.
  • Reviewed planned budget category amounts, using add-missing or replace-selected behavior, with a separate optional planning-target change. Actual vendor commitments, invoices, payments and cost-item history remain separate.
  • An unpublished business form or reusable email draft, without responses, recipients or issued links.
  • An unissued proposal draft, with no acceptance or payment changes.
  • A private project contract draft, available under Private project terms.

For timelines, choose Append to existing moments or Replace unprotected moments. The review lists every new moment at its resolved calendar date and time, every existing moment kept, and every moment removed from the working draft. Relative days use the explicit destination event date; dependencies may move a new moment later, and the preview shows its previous requested time.

Replacement preserves fixed anchors, moments marked in progress or done, recorded actual execution, and their prerequisite chains. It never deletes their original rows or changes the published version, recipient assignments, acknowledgments or messages. Conflicts and protected timing corrections block application until you resolve them in the coordination editor. New copied moments receive independent identities; template changes cannot silently rewrite a project.

A pre-replacement draft checkpoint is retained, including for a legacy timeline that has no coordination plan yet. Open the coordination editor to undo the replacement or inspect saved history. Old moment rows remain available to published schedules and restoration; removing them from this draft is not permanent deletion. Repeated replacements can therefore grow retained history. A changed execution status, source template, draft revision or resource review requires a new preview.

Contract wording stays private until you save, review and explicitly choose Post reviewed terms. Posting makes an unsigned agreement visible in the project’s client portal. It does not request signatures or send a message. Use the agreement’s normal reviewed issuance workflow afterward.

Contribute to the community

Review the exact saved version, supply a public author credit, confirm publication rights, and confirm that no private client details remain. The copy-and-adapt permission allows others to make independent versions. A different configured moderator reads the frozen submission and approves or returns it with revision notes. Revise privately and submit the revised saved version for another review.

Approved submissions enter public discovery only after community publication is activated. Later private edits cannot change that public version. Withdraw removes it from discovery and blocks new copies. Moderators can also hide a published version with a recorded reason. Previously created independent copies are retained.

Setup, limits and recovery

Apply the template-studio database migration during coordinated setup. Configure verified moderator identity IDs with TEMPLATE_MODERATOR_IDENTITY_IDS. Set TEMPLATE_COMMUNITY_PUBLIC_ENABLED=true only after moderation and public publication have been exercised. An environment variable alone is not a launch verification.

Templates are bounded to 180 KB, 200 timeline moments, 300 checklist tasks, 40 form questions and the existing proposal/contract limits. An application that would exceed 500 destination draft moments is rejected, counting protected retained moments during replacement. Private image references cannot enter portable templates; add owned images in the destination proposal. Geographic or legal correctness is not inferred from community approval: adapt assumptions and obtain the review your engagement needs.

If a preview becomes stale or access is revoked, obtain a fresh preview. A network retry of the same submitted action recovers its original result. No template action sends email, SMS, signature requests or charges a payment method.
