Plan arrivals around the consequences of a delay

Editorial team · Reviewed

A guest arrival plan should show what happens if a journey slips. Focus on the commitments that depend on arrival rather than trying to predict every possible travel disruption.

A practical sequence

  1. Identify travellers whose presence is needed for a rehearsal, setup or ceremony role.
  2. Separate suggested transport from arrangements actually booked for guests.
  3. Provide a local contact and a clear missed-transfer fallback.
  4. Review disruption information using the responsible carrier and official travel sources.

Work through an example

A family member scheduled to give a reading arrives on the same afternoon as the rehearsal. The couple decides in advance who can stand in for rehearsal and how the final ceremony instruction will be shared. That small decision prevents a travel delay becoming a planning emergency.

Where judgement matters

Do not present a sample itinerary as travel advice for every guest. Entry requirements, accessibility needs and carrier rules depend on the person and journey. Link to official sources and ask guests to verify their own arrangements.

Make it usable

Work the decision

A practice case

An original fictional scenario. Numbers are illustrative inputs; this is not a customer result or a provider performance claim.

A guest’s flight is scheduled to land at 13:00 and the welcome event begins at 16:00. Landing is only one step: border formalities where applicable, baggage, meeting the driver, travel and check-in remain. Treat all durations as itinerary-specific inputs, not promises derived from an airport-to-hotel map.

Three decisions and why each matters
DecisionWhy it matters
Separate essential participants from optional attendance.A ceremony witness needs a different contingency discussion from a guest choosing a casual welcome event.
Ask the transport provider to confirm the pickup process. The driver’s meeting point and waiting policy can matter as much as road duration.
Keep disruption handling outside the ceremony cue list.An arrival lead can manage late guests without making every wedding moment wait for flight information.

Make one usable artifact

Build an arrival register with local date, terminal, provider, meeting point, accommodation and disruption contact. Collect only the travel details actually needed.

Then test the difficult case

A flight arrives after the last planned transfer. Use the agreed fallback and update attendance expectations without silently leaving the guest on a departed vehicle’s manifest.
