A first-look timeline: finish preparation before the private moment

Editorial team · Reviewed

A first look moves some photographs earlier; it also creates an earlier readiness deadline. The timeline has to make that trade visible to everyone preparing the couple.

Assumptions to confirm

A private meeting before the ceremony; portraits immediately afterward; family photographs split by preference. The couple chooses who attends and what is photographed.

The decisions that make this schedule work

Work backwards from the first look to clothing, personal details, travel, and the photographer’s setup. Ask who guides each person to the location and protects privacy. Do not assume every family grouping belongs before the ceremony; confirm availability and preferences, then leave only the necessary remaining groups afterward.

A worked revision

This hypothetical example illustrates a decision, not a promise about your suppliers' availability. One partner needs another 15 minutes to finish preparation. The planner shortens optional wedding-party portraits and keeps the private first look intact. The photographer confirms which groups will move after the ceremony before the planner sends a revised family call.

Try the schedule below

The editable rehearsal starts with the sample blocks and a 15-minute delay. Fixed events remain fixed so you can see where a human decision is needed. Change durations and roles to match the real team, then export the result as CSV or JSON. The rehearsal does not send messages, reserve people, or change a live wedding.

Before sharing, have each supplier confirm the blocks that affect their work. Name the person who approves the final revision and include a date or revision number in the handoff. A useful schedule makes responsibilities visible as well as start times.

How this tool works

This sandbox shifts movable events at or after the selected time by delay minus available buffer. Fixed anchors remain fixed and collisions are flagged for a human decision. It previews messages; it never sends them.

The change, before you publish it

Only movable downstream events shift. Fixed anchors need an explicit decision.
