Put the whole journey into the wedding timeline

A map estimate measures part of a journey. A wedding movement also includes finding passengers, boarding, loading mobility equipment, walking from parking and gathering the next group. These minutes belong in the schedule.

A practical sequence

  1. Name exact pickup and drop-off points rather than only venue names.
  2. Separate loading, travel, unloading and arrival buffer.
  3. Calculate each vehicle wave and the return journey before assuming capacity.
  4. Confirm accessible transport and a contact for passengers who miss their wave.

Work through an example

Ninety guests need a transfer in two vehicles with twenty-five usable seats each. One departure carries fifty guests, so a second wave is required. If the round trip plus loading takes an hour, the first wave must begin much earlier than a single twenty-minute drive suggests.

Where judgement matters

A larger guest count is not the only reason to add a vehicle. Mobility needs, luggage, children and route restrictions can reduce usable capacity. Confirm the actual vehicle specification and passenger needs with the operator before publishing pickup times.

These are illustrative planning inputs, not a route forecast. Each assumption needs confirmation for the actual group and vehicle.
