Create vendor credits without guessing ownership or permission

Editorial team · Reviewed

A well-prepared credit list can make collaboration easier after the wedding. It should identify businesses accurately while respecting the separate questions of who created an image and who may publish it.

A practical sequence

  1. Confirm the business display name, website and social handle with the vendor.
  2. Keep the photographer's image-use terms attached to the delivery.
  3. Distinguish a public credit from a private contact record.
  4. Give the couple and suppliers a way to correct an error before a post goes live.

Work through an example

A floral designer works under a studio name that differs from the contact's personal account. Copying the personal handle from an old email credits the wrong identity. A confirmed credit card avoids the mistake without exposing private phone numbers.

Where judgement matters

An invitation to collaborate on a wedding does not automatically grant rights to publish every photograph. Ask the creator and the people involved about the intended use. Keep marketing permission separate from access needed to perform the job.

Make it usable

Open the working tool and replace its sample assumptions with your own. Adapt the structured template to record the resulting decisions and handoffs. Review the finished version with the person responsible before it becomes an instruction to someone else.

Work the decision

A practice case

An original fictional scenario. Numbers are illustrative inputs; this is not a customer result or a provider performance claim.

A photographer delivers images that a venue would like to use on its website. The gallery download setting, a social tag and permission to advertise with an image are different things. Keep the intended use and the person granting permission explicit instead of treating a shared link as a general license.

Three decisions and why each matters
DecisionWhy it matters
Identify the asset and requested use.A venue blog feature and a paid advertisement can require different review.
Record credit wording and any conditions. The team should not reconstruct attribution from a social-media caption later.
Confirm the relevant permissions with the rights holder. An operational gallery setting does not settle every contractual or legal question.

Make one usable artifact

Prepare a permission request naming images, destination, duration of use, credit text and the requested decision. Link the written response to the asset record.

Then test the difficult case

A vendor forwards the download link to another business. Review the actual permission before allowing reuse; do not assume the first recipient could authorize it.

Use the linked tool or structured template below to record the result. Confirm it against the actual people, agreements and permissions before using it for an event.
