Keep meal selections and allergy instructions distinct

Meal choices help a caterer count service portions. Allergy requirements may need a separate confirmation and handling process. One label should not be expected to carry both meanings.

A practical sequence

  1. Collect meal selections consistently for individual guests.
  2. Use the caterer's process to confirm allergies and cross-contact requirements.
  3. Identify vendor meals, children and other service groups clearly.
  4. Send a versioned handoff and record who approved it.

Work through an example

A guest selects a vegetarian meal and separately reports an allergy. Counting the vegetarian option is straightforward, but the allergy still needs the caterer's review. A spreadsheet cell saying vegetarian does not resolve the preparation or service question.

Where judgement matters

Do not infer medical safety from a menu tag or an AI suggestion. The catering professional needs to confirm the actual ingredients and process. Restrict access to sensitive guest information and keep the event team's copy limited to what each role needs.
